Details of all parts used in repairs are held in the system
These parts are then available for adding to the repair record
When a part is added to the repair record by the engineer the stock level is checked
If stock is available an allocation record is created linking that stock item to the repair
If no stock is available a purchase order line is generated for that part from its' associated supplier and the repair status is updated to 'Awaiting parts'
Parts order can be sent at any time once the total stock order for that supplier has reached any minimum order value that may exist
Purchase order is then emailed to the supplier which includes a barcode
When a delivery arrives from the supplier it contains this barcode, which when scanned brings up the PO details so that the actual received goods can be brought into physical stock
Repairs awaiting these parts are updated automatically to tell the engineer that they are now available for fitting
Parts are taken from stock and scanned, together with the job barcode to confirm they have been taken for that specific repair
Once the part has been fitted the engineer clicks a link to confirm the part has now been fitted
As many separate barcoded locations as required can be created
Repair items are scanned into these locations as the repair progresses

Technical Asset Management System (TAMS)
Create a 'Collection' record for each batch of pallets due to be collected or delivered, identifying the client, collection date and expected volume of goods.
Create barcode labels for pallets for courier to apply as soon as they collect stock for recycling.
On arrival, confirm the volume on each pallet and create a unique barcode label for each individual item on each pallet (printed as a batch). As each label is printed a blank stock record is created which simply shows the source customer and arrival date.
Processing
If the item is data bearing and will go through the blancco process then the resulting blancco file can be used to import all the necessary data into the newly created stock item record. Then a visual inspection is all that is needed to confirm the cosmetic grade of the unit.
Non data bearing objects are inspected and the stock record updated manually.
As the stock moves through the warehouse it is scanned into each location.
The status of each stock item progresses as it is processed, for example from 'Arrived' to 'Blancco complete' to 'Available for sale' as appropriate. These statuses are created by the system administrator and give a useful snapshot of the overall stock status at any time.
Stock Search
There are many filters that can be applied when searching the stock, from technical specification for data bearing devices, to source customer, screen size and status.
Search results are displayed on screen with an option to export the results as an Excel file. This can be helpful in producing a filtered stock list for a potential sales customer.
Sales
A filtered stock search can be used to select a batch of items in 'Available for sale' status and reserve them for a specific customer.
These batches can be edited or cancelled and the items would then be designated 'Available for sale' again.
A picking list can then be created for the warehouse with the location, specification and unique barcode ID for each item.
The delivery note can then be produced for this sales batch, and then the sales invoice.
Parts
Details of all parts used in repairs are held in the system.
These parts are then available for adding to the repair record.

Repair Engineer Site Visits
Client details are entered into the system first, together with a record for each site that an engineer may be called to. This information can be edited at any time.
Details of engineers are entered, making sure their email address and postcode are included.
Arranging Visits
When a client calls in to request a site visit their details are called up in the system and a new visit request added. As part of this process, when the equipment type is selected from a drop down list the relevant engineers are displayed in a list with the nearest one at the top and the distance they each are from the selected site displayed after their name.
Once the equipment and visit date information has been entered the engineer is automatically sent an email with the visit information.
Monitoring Progress
A visit calendar is displayed in the system giving a summary of visits for the selected month, with details for any day displayed when that date is clicked on.
There is also a visit search form with filters including date range, site, client, engineer and visit status.
The visit status progresses from 'Initial Instruction' to 'Completed' to give an easy overview.
Visit Costs & Invoicing
Costs generated by the visit are added to the visit details screen as they accrue.
Once due, the invoice is generated from the same page and produced as a PDF that can be emailed to the client.
Contact Management
All contact with the client can be recorded in the system to ensure that all system users are aware of what has been discussed previously.
Relevant Documents
Any documents relevant to the client site can be uploaded and are accessible from within the site details page.
